SubRequest letter to customer for not accepting Purchase Order

Dear Sir/ Madam,

We have received your purchase order of (Product Name). We thank you for choosing us for Supplying the product.

There are many reasons for refusal such as:

1) As you know’, such price left us with a very thin margin of profit and we always think for the Satisfaction of our customers. This, therefore, does not allow us to reduce prices anymore. We shall be glad to fill up your order if you will confirm your order within seven (7) days at Rs 100 per MT.

2) But we regret to inform you that we are unable to supply you the goods within the time specified because our stock of apple Juice has been exhausted and the replenishment of stock will take at least one (1) month time.

Under these circumstances, we can supply you with the goods only if you extend the time of supply by one month.

3) However we cannot send you the goods until you remit the full payment to us, as stated in our terms for the Special Offer goods. The goods are offered strictly on a cash basis. As soon as we receive your payment we will despatch the goods to you.

However we do not expect our remaining stock to last very long as there are many orders for them. So please send your payment as soon as possible to avoid disappointment.

4) However, we regret to inform you that the aforementioned product has been discontinued and hence, it is no longer available with us.

Therefore, we are unable to process your purchase order at this point of time.
